Guests
Up to fifty-six, which is what our tables seat. Above that we are not the right venue, and we would rather say so now than after you have made the drive.
Your hours
Your hours are the hours you book, plus an hour either side of a four-hour day and two either side of an eight. We are on duty for the whole of it, and it is the same window for your vendors.
The end of the night
Every event ends at 10pm. Take-down runs to 11pm on a four-hour booking, or to midnight on an eight. If you have taken The Full Day, collection can wait until the morning.
If it rains
We watch the forecast and make the call four hours before you arrive. If the day needs to be indoors, that is where we set up. The room is part of the same booking, and nothing you have agreed changes.
Deposit
10% of the total including tax, paid when you book. It is not refundable, and it comes off what you owe.
Thirty days before
The one date to remember. The balance is charged to the card you booked with, we ask you for your final numbers and your vendor list, and your caterer shows us their license and their insurance. For a day inside thirty days, all of it happens within a week of your agreement being sent.
Paying by card
The deposit and the balance are both paid by card, with no card fee added. Paying the deposit authorizes the balance to be charged to the same card; if that card changes before then, update it in your booking file, because a charge that does not go through counts as a missed payment. If a charge ever looks wrong, tell us first and we will put it right — disputing a charge you authorized with your bank is a breach of the agreement.
Moving your date
You can change the date once at no charge, as long as your day is more than thirty days away and the new one is within a year.
If you cancel
More than thirty days out, we keep the deposit and nothing else is owed. Thirty days or fewer, we keep half the total including tax. If we manage to book your date again, that money comes back to you. We would much rather move your date than lose it.
If something happens that neither of us can help
Weather that makes the day unsafe, or anything of that kind — we will find you another date inside the year. If nothing works, the money comes back apart from the deposit.
Insurance
You will need a $1 million liability policy for the event, naming Eden Vaile as an additional insured. Event insurers sell these as a standard product; your caterer will have done it before.
The bar
All the alcohol here is ours, so there is none for you to bring and none to carry in, and there are no spirits on the property. Soft drinks and water are yours to arrange. The bar closes half an hour before your end time and never later than 9:30 in the evening, and soft drinks and water can stay out until the last of your guests have gone.
What we do not do
Food, soft drinks, music, flowers and lodging are yours to choose. We send you the Eden Vaile Rolodex — the professionals we recommend, and the places nearby where your guests can stay — when you book.
